When should you order custom merch for SXSW?

Work backward from it: about 8 weeks out, finalize your artwork; 6 weeks out, place the bulk order; then allow roughly two weeks of production plus shipping. 1. Finalize artwork and product mix
Lock your logo files, colors, and the products you're activating with — tees, caps, totes, stickers. A clean file is what makes the rest of the timeline predictable.

2. Place the bulk order
Approve your mockup and quote and get the order into production. Six weeks gives comfortable runway for a standard run plus a buffer for the Austin rush.

3. Production runs
Everything is made to order, so production runs roughly two weeks. This is also the window to add a second product or bump quantities if your plans grow.

4. Ship and coordinate delivery
Boxes ship to your office, venue, or hotel. Because we're in the Austin area, we can coordinate local delivery to your activation space instead of relying on a carrier's last mile during a packed week.
Event week
5. In hand with a buffer
Aim to have everything on-site a day or two before your first session — never the morning of. That cushion absorbs a mockup tweak or a carrier delay.
